PRIMARY FUNCTIONProvide confidential administrative support to the Director – Patient Safety, Quality and Risk Management and other PSQR staff to help support the efficient functioning of the department, and timely workflow of department managed corporate processes.Within this role the employee is accountable for contributing to the delivery of the Kingston Health Sciences strategy, for demonstrating an awareness of and actively promoting and supporting patient and family centered engagement and care. The employee is also accountable for modeling KHSC values and guiding principles within a culture of safety, continuous quality improvement, risk awareness, and learning.
RESPONSIBILITIES & DUTIES INCLUDE:
- Provide support to Director and PSQR staff across multiple sites though coordinating meetings (in-person and remote) and taking minutes, preparation of presentations and reports, monitoring department deliverables, coordinating department invoicing and purchasing, and management of shared information, , etc.to facilitate the efficient functioning of the PSQR portfolio.
- In collaboration with the PSQR staff, coordinate activities and workflow for corporate processes under the responsibility of PSQR, including, but not limited to, policy administration, alerts and recalls, insurance administration, quality improvement planning, accreditation, and quarterly reporting to Board Committees
- Assist the Director and PSQR staff with portfolio communication including maintaining content on KHSC Intranet and SharePoint sites. Assist Director and PSQR staff in navigating KHSC administrative processes and responding to ad-hoc requests from internal partners and external agencies.

BASIC QUALIFICATIONS:- Community College Diploma (2-year program) or equivalent
- 3-year Business or Office Administration Diploma (Preferred)
- 3-5 years relevant administrative experience
- Excellent organizational skills; able to organize, prioritize and work under pressure with minimal supervision in a busy environment. Able to document, store and retrieve information required
- Good judgment, assessment and problem-solving skills required to handle urgent, important and/or sensitive matters.
- Strong written and verbal communication skills; good grammar, and composition.
- Excellent interpersonal skills with a positive demeanor and a collaborative approach.
- Ability to communicate courteously and tactfully at all times, and adapt to changing requirements
- MS Office proficiency required including Excel (Expert User), Word (Expert User), Power Point, and MS Visio.
- Proven ability to show discretion and sensitivity in handling confidential matters.
- Experience with electronic collaborative work applications (SharePoint, MS Teams) (Preferred)
- Satisfactory criminal record check and vulnerable sector search required
