Job Description
OVERVIEW
The Receptionist answers phone calls and greets employees and visitors entering the Head Office building. He/she also offers administrative support to various departments and takes part in the employee onboarding and exit processes.
STATISTICAL INFORMATION
Approximately 55 phone calls to be handled per day.
Approximately 10 purchase orders to be processed each week.
RESPONSIBILITIES
- Greet visitors and direct them to the appropriate location.
- Answer phone calls, take, and transmit messages.
- Forward faxed documents to the recipients.
- Answer various requests from Head Office employees.
- Prepare an expense report each month.
- Provide administrative support to various departments.
- Order office supplies every day.
- Ensure security checks at the reception and keep access logs.
- Keep reception procedures up to date, as well as the phone directory up to date.
- Actively participate in employee onboarding and exit processes.
- Perform various clerical tasks such as filing, meeting room reservations, preparation of labels, faxing
and scanning of documents, data entry and drafting of administrative memos.
- Update the archiving system.
- Keep the database of interns and consultants up to date.
- Coordinate the shipping of corporate gifts such as (maple syrup) at the start of the year.
- Other related tasks.
REQUIREMENTS
- Knowledge of Windows and Office applications
- Knowledge of ERP systems under JD Edwards, Oracle, or SAP an asset.
- Secondary school diploma
- Five days per week on-site, 9 a.m. to 5 p.m. schedule.
LANGUAGES
- Bilingual (English and French) - oral and written strongly recommended.
