Job Description
We are looking for a professional with a friendly attitude and the ability to multitask to serve as our company’s front desk coordinator. In this position, you will greet guests entering the building and help direct them where they need to go. In addition, you’ll be responsible for answering and managing the phones, receiving correspondence, assembling and sending courier packages within Canada and the USA, and be the point person for helping consumers by handling, concerns or complaints by phone, email and through written correspondence. To be successful as a Front Desk Coordinator, you should have a pleasant personality. You should be able to multitask and deal with emergencies in a timely and effective manner as well as have strong organizational skills. You should also believe attention to detail is an important skill; and have excellent communication skills to effectively to understand and resolve consumer needs. Ultimately, a Front Desk Coordinator’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.
Responsibilities-
- Greet people entering the building, answering any questions, providing directions, and alerting staff when someone is there to meet or visit them
- Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system
- Manage the building log of who is entering and exiting the building
- Accept deliveries and mail, and manage outgoing mail, local and international couriers, and packages for pickup
- Maintain the reception area, keeping it clean and free of clutter
- Handle filing and data entry as requested
- Updating information in GS1
- Handle consumer complaints by providing solutions, often within a time limit to ensure the consumer is satisfied.
- Provide support for teams when necessary
- Learn about our products to be able to answer any basic questions from customers
- Track various consumer care tasks and conduct follow-ups in a timely manner
- Provide basic and accurate information in-person and via phone/email
- Order office supplies and keep inventory of stock
- Perform other clerical receptionist duties such as filing, photocopying, and faxing
- Support other departments as necessary
Requirements and skills
- Minimum of 2 years work experience as a Front Desk Coordinator or similar role
- Proficiency in Microsoft Office Suite
- Administrative skills to be able to use basic computer programs including Microsoft Office Suite; as well as general office equipment (e.g. fax machines and printers)
- Professional appearance, with an empathetic ear and a customer service attitude
- Strong verbal and written communication skills
- Ability to be resourceful and work independently
- Excellent organizational skills
- Flexibility to be able to move between activities and duties quickly if priorities change
Job Types: Full-time, Permanent
Salary: $45,000.00-$50,000.00 per year
