SUMMARY :
ES Coordinator Employer Engagement supports the Director and management team to effectively coordinate the activities and supervise the EO Employer Liaisons on the daily operations of job search assistance, brokered incentive agreements and employer engagement activities and related job search supports for all Achev Employment Services sites. Working with all team members, the coordinator will plan, implement, and evaluate job matching, development and supports service strategies and oversee the financial administration of employer incentives and agreements as well as other supports. They will ensure the professional operation and availability of all resources, information and tools necessary for the successful delivery of employer engagement and job development and support activities for our Employment Ontario Services.
DUTIES & RESPONSIBILITIES:
Operational:
- Coordinate, schedule and support all ES program activities related to job search, employer engagement in accordance with guidelines/performance management standards.
- Monitor quality and consistency of participant and employer file/records for case management, and financial incentive utilizing current and future Funder and internal data bases
- Ensure all monthly and annual KPI, spending and related ES contract expectations and program targets are achieved
- Ensure all processes decision making models and site goals are achieved.
Staff Management:
- Along with the Employment Services management team assist with the recruitment interviewing and hiring of all Employer Liaison staff
- Ensure timely on boarding and training of new Employer Liaison staff
- Provide direct formal and informal coaching/supervision/performance management and review of the Employer Liaison team.
- Conduct annual performance reviews with staff and provide recommendations for professional development
- Complete data entry of payroll information on a bi-monthly basis
- Manage vacation schedules, including sick and time off requests and ensure staffing gaps are monitored and filled
- Facilitate team meetings and arrange for development sessions that offer training, with the intent to expand employee goals in supporting clients
- Follow the disciplinary process as and when necessary in accordance with ACHEV policies and procedures, including creating work/training and Performance Improvement Plans
- Perform monthly one/one coaching sessions to team members
Financial Administration:
- Work with the Director and Management Team to establish budgets and manage incentives in accordance with organizational and ES guidelines.
- Monitor, manage and track expenditure of incentives and provide financial reporting/rationales in accordance with budget allocations/timelines as per funder guidelines.
Program Reporting:
- Prompt and accurate completion and submission of employer liaison activities for all scheduled or required reports including financial performance reports
- Ensure consistent communication with Director, Manager and other Coordinator of Employment Services with regards to ES case management and incentives for program performance (submission of scheduled performance updates)
Outreach, employer and community engagement Responsibilities:
- Establish new and maintain existing professional collaborative relationships with employers and employer networks with an eye to improving ES program awareness and job matching and hiring efforts
- Professionally represent ACHEV Employment Services, promoting ES services to clients, employers, community organizations and networks
- Participate and lead various community partnership tables and activities
- Prepare and implement annual Outreach and Marketing and employer engagement plan to ensure consistent program visibility and relationship development within the community
- Support innovation and planning ideas to support organizational vision and community needs
- Coordinate events that support marketing of services to the community, i.e. Employer Appreciation, Employer Hiring Events
Program Evaluation:
- Ensure consistent and thorough review of all data reports - or funder reports to analyze site performance as per contractual KPI and agreements and implement timely remedial strategies/implementation for performance improvement as necessary to enhance the overall ES client/employer experience.
- Ensure consistent collection and review of employer and client feedback.
- Utilize participant/employer feedback, reports and internal tools/reports to analyse program performance and inform strategic planning to ensure continuous improvement
QUALIFICATIONS:
- Completion of a College Diploma or University Degree
- A minimum of 3-5 years work experience in a managerial or leadership capacity
- Extensive knowledge of Employment Services with a minimum of 3 years’ experience in an ES supervisory role
- Extensive experience with Case Management System
- Knowledge of local labour market, service organizations, associations and networks
- Proven experience in establishing and maintaining professional relationships with key community stakeholders
- Demonstrated ability to establish budgets and manage cash flow in accordance with organizational standards
- Proven strong leadership; effective management and team building skills
- Proficient written and oral communication skills
- Strong time management skills with a demonstrated ability to multi-task and prioritize effectively
- Demonstrated use of computer technology including Microsoft Office (Word, Excel, and Outlook),
- Ability to work a flexible schedule depending on program demands; evenings, weekends or split shifts as necessary
- Must have access to a vehicle and able to travel through out the GTA and surrounding communities
