ABOUT THE OPPORTUNITY
We are seeking a full-time Travel & Administrative Assistant to support our team and act as our go-to, dependable resource for travel bookings and all things administrative. The ideal candidate will exhibit high standards, excellent communication skills, have the ability to take initiative, and prioritize daily tasks.
The successful candidate MUST reside within commuting distance of our Calgary office. This is a full-time office-based position that requires some overtime, and availability on evenings and weekends. Due to the overtime requirements, there will be some schedule flexibility and opportunities for overtime working from home.
WHAT YOU'LL DO
- Answer phones, direct calls, send messages
- Be available at the office during office hours to provide attendance to suppliers, agents, and clients
- Book and adjust travel arrangements for 90+ staff under the direction of the Travel & Housing Coordinator
- Be available to make and modify bookings outside of regular business hours at the request of the Travel & Housing Coordinator
- Be responsible for general office upkeep under the direction of the Administrative Manager
- Assist with project tracking and invoicing
- Assist with reconciliation of expenses and support to accounting and finance teams
- Ensure file organization based on office protocol
- Provide ad-hoc support around the office as needed
- Assist with documentation and packing of mail and shipments
WHAT WE'RE LOOKING FOR
- Relevant experience in travel or logistics coordination and/or administrative experience is an asset
- Ability to work outside of regular business hours
- Exceptional organizational skills with the ability to work efficiently and maintain a high degree of accuracy
- Ability to prioritize tasks, identify problems and provide potential solutions
- Proficiency in Microsoft Office 365 and internet applications is a must
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the ability to develop and maintain relationships with clients, suppliers and partners
- Flexibility and adaptability to changes in business processes, goals and priorities
- Ability to take direction and feedback from senior, contemporary and junior staff
