Job Summary: This position provides hiring and related administrative support to the Associate Dean, Nursing for the nursing programs, and supports administrative functions related to practicums for students enrolled in the nursing programs
Nature of work:
This position reports to the Associate Dean, Nursing in the Faculty of Health Sciences.
This position provides hiring support and contract administration, administrative support to the Assistant Dean, Student Affairs and Associate Dean, Nursing as well as administrative support for the nursing program office and practicum team
Responsibilities/accountabilities:
- Assist in hiring process for Sessional instructors and lab-based TAs within the Nursing Program (including Clinical Sessional Instructors). This included coordinating postings with Associate Dean input, initial screening of applicants, arranging interviews, reference checks, management of priority internal course lists, identifying PSAC members who are eligible/meet Collective Agreement criteria
- Finalizes acquiring of documentation associated with th hiring process including the securing and management of requirements, creating, generating, and collecting contracts
- Prepares position postings for Sessional, Clinical Sessional Instructors, and lab-based TAs in nursing
- Ensures compliance with collective agreement, university policy and procedures
- Administers onboarding process
- Creates and maintains electronic tacking records of contracts and relevant information
- Provides administrative support to the Assistant Dean and Associate Dean, Nursing in regards to students matters and coordinating communication
- Organize and maintenance of evaluations for clinical sessional instructors
- Works with the nursing program office team to ensure compliance with affiliation agreements with partnering clinical agencies. Tracks expiration of agreements and flags for renewal
- Works with existing nursing program office team to analyze and verify students with missing pre-practicum criteria/requirements. Communicates this information to ensure students meet the requirements of the Public Health Act and submits valid supporting documentation
- Ensures necessary forms are completed by students to confirm WSIB coverage when out on placement
- Assists in identifying and organizing appropriate room and scheduling for all simulation based practicum experiences
- Disseminates preceptor information that guides/aids the RN mentor that a student is paired with for a practicum experience
- Develops forms/processes for student placement
- Communicates assignments with Clinical Instructors
- Assists in the maintenance and updating of information i nthe practicum placement databases and software
- Assists with minutes, meeting and room bookings etc in consultation with the Associate Dean with the goal of supporting the program
Required Skills:
- Strong organizational and time management skills. Willing to take initiatives. Able to work flexible hours to meet deadlines.
- Strong attention to detail with the ability to multi-task and work with efficiency and accuracy in a fast-paced environment.
- Proficient with software and applications such as Windows, G-Suite, Microsoft Office (Excel, Word), Adobe Pro, Banner, FAST, CONCUR
- Possess some experience in database maintenance and report writing systems such as Microsoft Office (Excel, Access), COGNOS
- Proven team player dedicated to excellent customer service.
- Well-developed written communication and interpersonal skills, diplomacy and tact, with a professional and courteous demeanor.
- Act with integrity and have the ability to maintain confidential information.
- Adept in a post-secondary environment and with its policies and procedures
Required Education:
- Completion of a Formal Post-Secondary/College program of two academic years of equivalent related to business administration or accounting An equivalent combination of education and related experience may be considered.
- Verification of Academic credentials may be required
Required Experience:
- Minimum 1 to 3 years of experience in business administration or equivalent in an office environment preferably in a post-secondary academic environment
- Knowledge of Microsoft office and the ability to comfortably use all modules in the suite
- Experience in database maintenance and report writing systems such as Microsoft Office (Excel, Access), COGNOS
