We are seeking a permanent full-time Operations Manager to join the Applied Research team.The Operations Manager, Applied Research is responsible for the day-to-day management of administrative functions to assist in the delivery of a wide variety of programs and services. This position prepares and develops strategic plans, business cases, and proposals. The incumbent facilitates the budget process for the designated Division, coordinating with budget holders and Financial Services to synchronize with the overall Institution budgeting process. The Operations Manager ensures that business operations work effectively and efficiently to deliver excellent service to staff, students, faculty, and internal and external partners.The incumbent acts as a liaison between the Division and the Schools and service areas across the Institution, and with external stakeholders, to carry-out the Division’s strategic priorities. Partnership work in this position involves provision of support to enhance strategic partnerships as identified at present as well as those resulting from future growth directives.Position ResponsibilitiesResponsibilities include the following:Manages the operational systems through the assessment and design of workflows that will respond to department needs, enhance service delivery, and contribute to the growth and success of the DivisionDevelops administrative and financial reports that will provide Division leadership with direction and guidance for planning and decision-making purposesParticipates in the annual operational planning cycle in coordination with the annual budget processPrepares and writes strategic planning documents resulting from initiatives identified in operational plans across the DivisionCollects financial data, analyzes data, and makes recommendations for strategic purposes as well as for operational decision makingOversees effective financial and grant administration for applied research activities within RDP.Monitors grant documents including developments, deliverables, and timingIdentifies issues and provides advice on financial management and grant administrationActs as liaison with Schools and Divisions and task groups to ensure project and grant management successParticipates in the preparation and development of Applied Research partnership agreementsResponsible for coordinating and monitoring operating and personnel budgets for the Division in an accurate and timely manner, ensuring compliance with Institution – wide standard practicesResponsible for ensuring research grant specific financial and reporting requirements are met; This includes grants that directly support the work of the divisionResponsible for effective recruitment and selection, retention, coaching, supervision, performance management in compliance with People & Culture policies and procedures, FOIPP, and collective agreements in support of a high performing teamDirects the day-to-day operations of direct report(s)Develops, reviews, and is accountable for the fluid support structure and processes to ensure the effective and efficient distribution and delegation of workCompletes contract letters and distribute for signing as appropriate, ensuring step and grade calculations are accurate, and completes contract payroll entryRequired QualificationsMinimum Bachelor’s Degree in a relevant discipline such as Bachelor of Business Administration, Bachelor of Management or Bachelor of CommerceMinimum Project Management CertificateMinimum three (3) years progressively responsible leadership experience including direct supervision of staffMinimum three (3) years experience developing, analyzing and recording complex budgets, contracts and operation plansAbility to champion and lead change with a professional, proactive, collaborative, and results-oriented styleStrong analytical skills, ability to think outside the box, and apply creative solutions to issues presentedAbility to work in a dynamic, ever-changing, fast-paced environment with multiple demands, competing priorities and numerous deadlinesAbility to exercise good judgement and discretion, and maintain confidentialityWork as an effective team member and build rapport and trust with senior leaders, peers, employees, and strategic partnersKnowledge and experience using technology to enhance communications as well as operational efficiencies in the office; proficient in Microsoft Office SuitePreferred QualificationsKnowledge of the operation of a post-secondary institution is preferredKnowledge of the post-secondary research grant environment is an assetProcess management experience is preferredUse and interpret complex data to accurately inform and advise decision makersAbility to work autonomously, adapt to multiple competing priorities and work with multiple stakeholders to deliver results on timeSalary or Hourly?
